A word that should be included on every project involving documents – compliance. Postal regulations, privacy laws, HIPAA rules, and data protection, Add to that corporate governance around branding, messaging, visual elements, and trademarks. Then there are standards around cybersecurity and data processing that have added more acronyms to our vocabulary – SOC (1 and 2), HITECH, NIST, and ARC-AMPE.
Software vendors in the Customer Communication Management (CCM) space have begun introducing agentic AI into their offerings. For documents, this can take several paths – template changes, customer journeys, and compliance. That includes compliance on both the documents themselves, and the processes used in document creation and distribution.
As artificial intelligence is the hot topic in business, many vendors are racing to the market with new “AI features” for their products. The question that immediately comes to mind – were testing and quality sacrificed in the rush to get an offering to market?
No matter where they are on the document journey, managers should begin meetings with vendors today. Start with existing vendors, and ask for briefings on what compliance tools they have introduced. Attend webinars and trade shows to learn what other vendors are offering. In every conversation, ask for references or case studies of customers that have used the new product. If the customer has passed an audit since implementing – even better.

Amazing Astronomical Fact: Galileo Galilei is famous for inventing an improved telescope for studying the skies. His observations of the moons of Jupiter and the Sun led him to support the Copernican model that showed that the Earth revolved around the Sun – not the geocentric model championed by the Catholic Church.
His studies of the Sun and sunspots also led to the discovery that the Sun rotated on its axis. Galileo projected the image of the sun on to a piece of paper and traced the location of the sunspots. By making the observations at the same time of day, he had clear evidence of the spots’ motion.
