Thursday Thoughts on AI: Artificial Intelligence and RFPs
No matter what you purchase – equipment, software or services – how you purchase is important. You can improve your chances for success by having a strategy for selecting and managing your vendors.
The Request for Proposals (RFP) process is an excellent method to use for selecting vendors and products. The fundamental steps of the RFP process are:
- Conduct research
- Hold meetings inside and outside your company
- Assemble an RFP team
- Draft and publish the RFP
- Conduct vendor response reviews
- Call references
- Compare the bids
- Award the bid
- Receive and accept the equipment or service
The steps where artificial intelligence (AI) can provide the most help are (a) conducting research, (b) drafting the RFP, and (c) comparing bids.
The steps in the previous post on AI and research remain the same. Once a list of solutions is generated, submit the prompt, “Provide a list of the top 10 competitors to ‘Vendor X’s solution’, including websites.” This will help prevent bias of only doing business with companies already known by the team.
Generating a first draft of the RFP with AI may be an option to consider. However, the human team needs to carefully review before publishing. The specific challenges of your organization, the legal requirements around purchasing, and the expert knowledge of users and leaders won’t be known by any AI engine.
After checking governance and privacy rules, it may also be helpful to upload the pricing portions of the proposals to an AI engine. Vendors may use different formats or formulae for pricing. Having an AI assistant create the first draft of a comparison table will save time. As with research, be sure to verify that the data was accurately extracted from the proposals by the AI tool.
The RFP process remains an effective way to make informed purchasing decisions on hardware, software and service providers. Judicious use of AI will help provide additional information, streamline the process, and support the team making decisions.
